Terms of Service

These terms apply to your use of Gapfile (gapfile.com). By creating an account or buying a plan you accept them.
1. Who we are
Gapfile is operated by Igor Kazazic, a sole trader (private individual, not a registered company).

2. The service
Gapfile helps businesses find out which requirements of the General Product Safety Regulation (GPSR) and related EU product rules apply to a product, keep track of the evidence (test reports, certificates, declarations) and generate a technical file with a risk assessment from that information.
Gapfile is a documentation tool. It is not legal advice and does not replace an assessment by a qualified expert, notified body or accredited test laboratory. You remain responsible for the safety and compliance of your products and for the accuracy of the information you enter. Each rule set shows its review status; rule sets that are not expert-reviewed may be incomplete.
3. Business customers only
Gapfile is offered to businesses — manufacturers, importers, distributors and online sellers. By creating an account you confirm that you use Gapfile for business purposes and not as a consumer.
4. Your account
You must give accurate information and keep your password secure. You are responsible for activity under your account. An account belongs to one organisation.
5. Plans and prices
- Free — gap analysis, requirements list and evidence uploads for up to 3 products.
- Per product — €89 one-off. The technical file for one product, with new versions for 30 days after purchase.
- Starter — €35 per month or €350 per year. Up to 15 products and unlimited technical file versions while the subscription is active.
All prices are in euro and include VAT where applicable. Gapfile is currently below the Swedish VAT registration threshold, so no VAT is charged. If that changes, the price you pay stays the same.
Payments are processed by Stripe. Receipts are sent by email and are also available in the billing portal.
We may change prices for future periods. Subscribers are told by email at least 30 days before a new price applies to them and can cancel before then.
6. Renewal
Starter renews automatically at the end of each billing period (monthly or yearly) until you cancel. If a payment fails, Stripe retries it. If the payment cannot be collected, the subscription ends and the account returns to the Free plan.
7. How to cancel
- Log in and open Settings.
- Under Subscription, click “Invoices, payment method and cancellation”. This opens the Stripe billing portal.
- Click “Cancel subscription” and confirm.
The cancellation takes effect at the end of the current billing period. You keep Starter until then and are not charged again. Unused parts of a period are not refunded, unless the law requires it.
You can also cancel by emailing contact@gapfile.com from the email address registered on the account. We confirm the cancellation by email.
A per-product purchase is a one-off payment and does not renew, so there is nothing to cancel.
After cancellation your products, evidence and earlier technical files stay in your account on the Free plan. You can delete them or close the account at any time (see section 8).
8. Closing your account
To close your account and delete your data, email contact@gapfile.com. If you have an active subscription, cancel it first or ask us to do it. We delete the account and its data within 30 days, except records we must keep by law (see the Privacy Policy).
9. Your content
You keep all rights to the product information and documents you upload. You allow us to store and process them only to provide the service to you. You must have the right to upload the documents you add.
We do not use your content for any other purpose and only share it with the service providers listed in the Privacy Policy.
10. Acceptable use
You may not upload unlawful content or malware, try to access other organisations' data, overload or disrupt the service, or resell access to Gapfile without our written agreement.
11. Availability and changes
We aim to keep Gapfile available but cannot guarantee uninterrupted service. We may improve or change features and rule sets. When a rule that affects your products changes, the product is flagged in the app. Keep your own copies of the technical files you generate.
12. Liability
Gapfile is provided as is. To the extent permitted by law, we are not liable for indirect or consequential loss, lost profit, or fines, recalls or other measures taken by authorities. Our total liability is limited to the amount you paid us in the 12 months before the claim.
Nothing in these terms limits liability for intent or gross negligence, or where the law does not allow it.
13. Suspension
We may suspend or close an account that breaches these terms or is not paid, after giving notice where reasonable.
14. Changes to these terms
We may update these terms. Material changes are announced by email at least 30 days before they apply. If you do not agree, you can cancel and close your account before then.
15. Governing law
Swedish law applies. Disputes are decided by the Swedish courts, with Malmö District Court (Malmö tingsrätt) as the first instance.
